Atrium Psychology is committed to protecting your personal information and maintaining your privacy in accordance with the Personal Health Information Protection Act (PHIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) of Ontario, Canada.

This Privacy Policy explains how we collect, use, disclose, and safeguard your personal health information when you engage with our services.

1. Purpose of Data Collection

We collect and retain personal and health information to provide effective, ethical, and regulated psychological services.
This information is used to:

  • Assess, diagnose, and treat psychological conditions

  • Maintain accurate clinical records

  • Communicate with you regarding appointments and care

  • Comply with legal, professional, and ethical requirements

  • Coordinate care with other professionals (with your consent)

2. Information We Collect

The types of information we collect may include:

  • Full name, date of birth, and contact details

  • Medical and psychological history

  • Health card and insurance information

  • Session notes and treatment plans

  • Test results or assessment data

  • Payment and billing information

  • Communication records (email, phone, or forms)

3. How We Use Your Information

Your personal health information will only be used for purposes directly related to your care and clinic operations, including:

  • Providing clinical assessment and treatment

  • Administrative functions such as billing, scheduling, and client support

  • Quality assurance and professional supervision (when applicable)

  • Legal or regulatory obligations (e.g., College of Psychologists of Ontario)

We will not use or disclose your information for marketing or any unrelated purposes without your explicit consent.

4. Confidentiality & Limits

All client information is confidential. However, by law, psychologists are required to disclose information in the following exceptional circumstances:

  1. Risk of harm to yourself or others

  2. Suspected child abuse or neglect

  3. Court order or legal subpoena

  4. Professional supervision (for clinicians in supervised practice)

Outside of these situations, no information will be shared without your written consent.

5. Storage & Security

We use secure, encrypted electronic systems to store your data and protect it from loss, theft, or unauthorized access.
Access to records is limited to authorized clinical and administrative personnel.
Paper records (if any) are kept in locked, restricted areas.

Electronic communications (e.g., email) are used cautiously, and clients are informed of the potential risks of digital correspondence.

6. Retention & Destruction of Records

Clinical records are retained for at least 10 years after the last date of contact (or 10 years after the client reaches the age of 18, whichever is longer), as required by Ontario law.
After that period, records are securely destroyed.

7. Your Rights

As a client, you have the right to:

  • Access your personal health information

  • Request corrections to your record

  • Withdraw consent for information sharing (within legal limits)

  • Ask about how your information is managed or disclosed

Requests for access or correction must be submitted in writing to the clinic.

8. Third-Party Service Providers

We may use secure third-party platforms for scheduling, billing, or telehealth sessions.
All platforms comply with privacy and data protection standards required by PHIPA and PIPEDA.
We do not sell or rent any personal information to third parties.

9. Telepsychology Services

When using virtual or online sessions, Atrium Psychology employs encrypted, secure platforms.
Clients are encouraged to participate in sessions from private, quiet locations to protect confidentiality.
